Job Description

 

Reporting to the Project Controls Manager, this position is responsible for coordinating and administering project change management activities, ensuring all changes are properly documented, evaluated, reviewed, and approved before implementation. The role ensures that all scope, cost, schedule, and technical impacts resulting from changes are properly identified, documented, assessed, and communicated.  The Coordinator facilitates the Management of Change process and ensures compliance with project procedures and contractual requirements.

Responsibilities

  • Coordinate and administer the Management of Change (MOC) process for the projects.
  • Work with change initiators and project stakeholders to define the scope and impact of changes.
  • Ensure all affected disciplines understand the proposed change and provide required assessments and estimates.
  • Facilitate discussions between project management, engineering, procurement, project controls, and client representatives.
  • Coordinate evaluations of cost, schedule, risk, quantity, and technical impacts.
  • Assign change numbers, maintain the MOC register and supporting records.
  • Obtain and expedite supporting documentation required to develop variation packages.
  • Ensure all change requests and variation packages are completed correctly and supported by appropriate documentation.
  • Monitor the status of all changes from initiation through approval and closeout.
  • Promote a proactive "no surprises" culture through timely communication of potential changes.
  • Other duties that are pertinent to the department’s success also may be assigned.
  • This position has no supervisory responsibilities.

Qualifications

 

  • High school diploma or equivalent required; post-secondary education is preferred.
  • Previous experience in project administration, document control, project coordination, change management, project controls, or a related field.
  • Strong organizational and time management skills with the ability to manage multiple priorities and maintain accurate records.
  • Excellent written and verbal communication skills, with the ability to effectively interact with project team members, clients, and stakeholders.
  • Proactive and self-motivated, with the ability to identify issues, follow up on outstanding actions, and drive tasks to completion.
  • Strong attention to detail and commitment to maintaining high-quality documentation.
  • Comfortable coordinating across multiple disciplines and facilitating meetings and discussions.
  • Proficient in Microsoft Office applications, including Excel, Word, Outlook, and Teams.
  • Demonstrated ability to learn new processes, systems, and project requirements quickly.
  • Ability to work independently while also functioning as an effective member of a project team.
